Your wedding coffee bar will be the talk of the town if you follow a few simple steps to make it unique.

The concept of a wedding reception coffee bar is fairly new so there’s not a lot of guidance out there. You can use a coffee catering service or hire a barista to create the drinks on site. But you’ll still need key ingredients, supplies and a great presentation to pull it off.

Michelle Breaud of Douglasville, Ga., and her husband planned a DIY coffee bar at their December 2019 wedding. She shared her idea for their “coffee and cake” wedding reception.

“I am doing a night-time reception so I’m serving coffee, cocoa and snacks,” Breaud explained prior to the wedding.

Breaud set aside a special area for the coffee bar and the customized mugs she gave her guests to use and take home. Several types of coffee were delivered to the reception.

Tips for your wedding coffee station

Stick with your wedding theme

Create a coffee bar that aligns with your wedding theme, whether it’s rustic, beach party, whimsical or Bohemian! It’s important that your colors and design are consistent for your wedding coffee bar, wedding guest favors and decorations.

Create a foundation to build on

Start with a personalized tablecloth that coordinates with your wedding colors. It can be plain or printed with your monogram, names or a coffee-related design. Be sure it properly fits the table you plan to use.

All of the table covers we offer include liquid-repellent protection built into the fabric for easy cleanup.

What is needed for a coffee bar?

The types of condiments you’ll need for your coffee bar will depend on what you’re serving. Are you sticking with a plain brew to serve hot or iced, or going all out with lattes, expressos and other java creations?

You might want to add hot cocoa or other custom drink mixes to the list for children or non-coffee drinkers. Here are the most recommended coffee flavorings, toppings and sweeteners:

Flavorings

  • Cinnamon
  • Cinnamon sticks
  • Nutmeg
  • Regular or flavored creamers
  • Pumpkin pie spice
  • Cocoa powder
  • Flavor shots: Hazelnut, amaretto, coconut, vanilla, butter pecan

Toppings

  • Whipped cream
  • Chocolate syrup
  • Caramel sauce
  • Marshmallows
  • Sprinkles
  • Chocolate shavings
  • Crushed peppermints
  • Grated cinnamon

Sweeteners

  • Granulated sugar
  • Sugar substitutes
  • Maple syrup
  • Honey

Add snacks that pair well with coffee

You can exclusively serve coffee if you don’t want to upstage your meal or if you have other food options planned. If not, there are a few snack items that are perfect for your wedding coffee bar. I recommend mini cupcakes; donuts and muffins; biscotti, personalized chocolate treats; custom cookies; and glazed nuts.

It’s a good idea to label your food items to warn guests who may have allergies.

Order customized coffee bar supplies

Take it up a notch and order personalized plastic wedding cups and other coffee bar supplies. Custom wedding paper cups are also a fantastic and budget-friendly option.

I also highly recommend ordering custom ceramic mugs that guests can keep as favors.

Breaud said it was easy and affordable to order the mugs she wanted at Totally Promotional.

This site was easy to navigate and customize my project. The prices were so much better than other sites. I loved all the designs you had to choose from.

Don’t forget the personalized napkins!

I also suggest using personalized foil-stamped napkins for a touch of elegance. Place the same artwork design on your mugs and napkins for a uniform look.

Create a wedding coffee bar sign

Make sure your guests can find the special treat you have for them! Place a sweet and inviting message on a chalkboard or customized wedding banner near your coffee bar. A small, photo frame displaying your phrase can be placed on the table if there’s room.

Need a cute or sassy saying? Here are a few I really like:

Favorite coffee bar sayings

  • “Love is brewing”
  • “Thanks a latte for joining us”
  • “The perfect blend, (your names), (your wedding date)”
  • “Thank you for bean here!”

You can do this!

Creating a beautiful and memorable wedding coffee bar isn’t difficult. I hope these suggestions give you inspiration and make your coffee bar a special part of your wedding celebration.

  1. I like how you mentioned that cinnamon, nutmeg, pumpkin spice, and cocoa powder are just some of the flavorings a coffee bar should have. My wife and I are thinking of looking for a coffee cart service because we’re considering having one at our daughter’s wedding reception so that guests have something to drink after dinner. It seems like a good idea for us to think about hiring a reputable service that has the supplies and flavoring we need in order to serve the best hot drinks possible at the reception.

    • Thanks for the nice comment, Jesse! I totally agree about the “extras” for the coffee bar and having a coffee cart service handle it. Wedding coffee bars are becoming very popular and guests will rave about it a long time after the celebration. Having a service set it up and operate it will reduce the stress that day.

We have some great items you can use for your coffee bar, such as wedding coffee cup tumblers, wedding coffee sleeves and wedding napkins. You can keep your wedding theme and colors going by customizing an item or two with the couple’s name, wedding date and/or message. Lots of couples have a cute thank-you printed on these items to show their appreciation to guests.

Feel free to browse our wedding site for all these items at TotallyWeddingKoozies.com and let us know if you have any questions.

      Congratulations!
